Get Twice as Much Done in a Day With These 5 Simple Changes Posted: 18 Aug 2021 06:55 AM PDT People often ask me how I manage to do so many different things at once. Two bootstrapped businesses, a podcast, and now a book in the works! How do I find enough hours in the day? I don't work extra hours or skip my weekend plans. I work roughly 40 hours per week. Nothing crazy. The key is that I make those hours count. I learned over the past year that I can double my productivity with just a few simple changes. No, it's not extra "hustle". No, I'm not drinking extra coffee. In fact, I found I need less coffee than I used to (more on this later). Did I find a killer app for "Getting Things Done"? Nope. I happen to think those waste more time than they save. So how do I get the highest output possible from my 40 hour work weeks? Here are a few simple changes I made that I highly recommend you try out for yourself. 1. Always Be Working Towards a BIG GoalThis is incredibly important. Whether you're building a product or working as a freelancer serving clients, you should always be working towards achieving a big goal. Something that almost seems out of reach (until it's not!). Your goal might be to build and launch your first product. Or it might be to land twice as many client projects as you did last year. Or maybe it's learning and mastering a new skill. The reason having a big goal is so important is it gives you a constant sense of momentum and progress. As you see yourself getting closer and closer to the finish line, and then rocketing past it, you'll naturally feel more energized. Anyone can come up with an ambitious goal. The hard part is actually turning that goal into your reality. To make it happen, you need a bullet-proof system. I use a model that I like to call the Cascading To-Do List. In a nutshell, this system starts by setting a big goal with a 6-month deadline. Then I plan the list of deliverables required to make this happen. I spread these out into monthly to-do lists (planned ahead of time). Then I craft my two-week schedule (this week and next week) by prioritizing these deliverables. This all trickles down to my to-do list for today. This system keeps me on track to doing big things without losing focus and drifting onto other things. So what's your big 6-month goal? 2. Wake Up EarlyFreeing yourself of the 9 to 5 job comes with the luxury of being able to work anytime we want. That might seem like a good excuse to wake up later and work the evening shift instead of the typical business hours. But here's a different idea. Wake up and work earlier. I'm talking about getting real work sessions in at the break of dawn. Here's why this works. Your brain is incredibly more efficient after a full night's rest (you'd better get to bed earlier if you're going to wake up earlier... Don't skimp on those zzz's). Your mind during those first few hours of the day is completely clear of all other "stuff" that makes it's way into it as the day goes on. You're free to be creative and productive during this time of clarity. Then there's the scheduling benefit. Most people don't have to field phone calls and emails until later in the day. Evenings tend to be spent with family and doing other relaxing things. Your early morning hours are all yours. Quiet. The perfect time to work. 3. Eliminate Distractions, Especially TwitterI never truly realized how much productivity Twitter sucked out of my day until I completely removed it from the equation by uninstalling my Twitter client from my computer. I used to keep my Twitter stream in clear view in the corner of my screen, all day long. Sure, I might go an hour or two without looking at it, but soon enough a Tweet will grab my attention with a link to a "must read" article. Of course, I click it (before I miss out on it forever!). Now I'm knee deep in an article, thinking nothing of the project I just abandoned. Oh, and this article is a review of a hot new app. All of a sudden, I find myself downloading a free trial of said app. Oops, is it lunchtime already? Nip distractions like Twitter in the bud. Make the necessary changes to stop these distractions from happening before they do. Unscheduled calls are another big distraction. I highly recommend that you require all phone or Skype calls to be scheduled in advance. Don't just pick up the phone whenever it rings. It's not just the time spent on the phone that gets lost. There's also the time it takes to sink back into your project after stepping away. And don't waste time negotiating dates and reconciling time zones with those phone appointments. Use a scheduling app where your clients can simply book a slot in your schedule. vCita and TimeTrade are two apps that work great for this. 4. Get HealthyIf you want to get more out of every day, you need to make sure your body and mind are operating at peak performance. That means staying in shape and getting the nutrients your body craves. I used to think getting healthy was only about shedding a couple of pounds. But I realized how much my health actually impacts my business too. Since changing a few exercise and diet habits, I'm reaping the benefits:
All it takes are a few simple changes. I started a daily exercise routine, which really pushed my limits. Then I added a few healthy things into my diet, such as juicing vegetables every afternoon, which naturally pushed some of the less healthy foods out of the mix. 5. Do Something ElseThis might seem counterintuitive, but if you want to get more done, you might try doing other things. What I mean is, don't make your work everything you do. Your work is not your life. There has to be something else going on that keeps you occupied, besides work. Family time, rest and relaxation are a given. Those aren't what I'm talking about. I mean something else that requires some creative energy. It's important that you mix things up and allow your mind to explore different things. Making a habit of putting your work aside to dig into other interests will keep your mind fresh, and keep your creative juices flowing. It helps you uncover new ideas and new ways of approaching problems. This all feeds back into your work, helping you take it in new and unexpected directions. My work time primarily involves design, some code, and lots of writing. But I also like to spend time composing music, snowboarding, and traveling. And although you should certainly take the time to train them, time is always in short supply for training. That's why companies of all sizes develop standard operating procedures, or SOPs. Standard operating procedure documents contain the necessary instructions on how to complete work. Writing standard operating procedures ensure that a business can keep running smoothly as employees come and go. Standard operating procedures create continuity in business. Employees, customers, and the workplace will change. SOPs will ensure that a standard set of tasks can continue to be completed while those all shift. In this article, we're going to talk about the importance of standard operating procedures and how to develop them. Let's dive in. What Is an SOP?So, what is an SOP? And why should you use SOPs in your business? SOPs work best as a step-by-step list of procedures that anyone can follow with a bit of training. Companies develop SOPs for a variety of reasons. One of these reasons is that SOPs help reduce the training time for new team members. Hand them a well-built SOP, and they'll have a considerable head start on completing the task at hand. Once all the HR training and onboarding is complete, a well-written SOP can serve as the first point of introduction for new team members. Writing standard operating procedures helps to ensure continuity. Have you ever worked with someone who was crucial to the team's success because of their knowledge and experience? I've seen this type of person leave companies many times, and the process breaks down and can't be completed. There's certainly no replacing top talent easily, sure. But SOPs help to ensure that crucial tasks are still completed even if key members leave for new opportunities. Even as team members change, a well-created SOP ensures that other employees can complete the task. SOPs also act as important legal protection for a company. We operate in a litigious environment that's fraught with lawsuits. To protect your company, you need to create SOPs with documentation. But standard operating procedures aren't just for big Fortune 500 companies. In my freelance practice, I've developed SOPs to outsource low value tasks. That includes tasks that I'd prefer not to do, like sending my clients invoices or even editing a document for publication. Standard operating procedures are just that - standardized. They can be handed off to others without the process breaking down. Create SOPs to GrowAbove all, consider creating SOPs to help you grow. I'll bet that you didn't start your business because you love sending invoices. Most of the time, we're drawn to a certain type of work and are stuck with the administrative tasks that come with it. But you also know that you can't merely neglect these business processes. Invoicing, for example, is crucial to maintain your business and continue your creative work. This is the ideal task that should have an SOP built for it so that it can potentially be outsourced or handled by others. To grow from a solopreneur into a thriving business requires thinking about scale. SOP (standard operating procedure) documents helps you to outsource or hand off the work to other team members. I'm sure that no one gets excited by the thought of writing SOPs. But growing your practice is all about putting scalable systems in place that can grow with your workload. Part of that is developing SOPs for these business-critical processes. Let's talk about how to build them. How to Quickly Customize SOP Standard Operating Procedure Templates (For 2021)Need to know how to give your SOP meaning in 2021? Let's build an example of an SOP (standard operating procedure) for invoicing. 1. State the "Why"It's hard to get buy-in on making SOPs if the reader or preparer doesn't understand why the work matters. That's why I always start with why. For my standard operating procedure example, I'll keep it simple. The purpose of creating invoices is simple: to get paid! Including the "why" will help anyone know that this process matters and is vital to perform each month. Also, make sure to include some administrative details on who should maintain the SOP. That identifies who'll work on it. 2. Frame the ProcessWhere does the documented process fit into the overall business picture? When should it be performed, and what other steps are required before it can be completed? Many processes are dependent on other steps, so make sure that this is captured. When is the task performed, and how often is it performed? These are all details that have to be captured in an SOP so that anyone can be followed by others. 3. Create Detailed, Concrete StepsNow, we've arrived at the most important part of the SOP building process: simple steps that anyone can follow. Document the steps involved with the process. Make them as simple as possible. For me, I find it easiest to write an SOP step list while performing the task for myself so that nothing is forgotten. It's possible that you may need to include conditionals in your list. It's okay to start with a step with "if...", as long as you address the scenario. 4. Add Illustrations and ScreenshotsMany SOPs will benefit from screenshots that illustrate the individual steps of a process. Particularly if you're asking the user to use a specific app or project management system, it helps For me, I typically use Trello for my freelancing practice. Screenshots that I would include an SOP would include walkthroughs of how to perform a task in Trello, for example. Keep in mind that the user may have never used the system, so more detail is always helpful. 5. Test the SOPsHere's the best way to test out the viability of your standard operating procedures: try handing them off and see if they break. When writing SOPs, it's easy to forget the beginner's perspective. You might have been doing the task for so long that you've forgotten what it's like to start with no knowledge of the process. This is why testing is so important. You've got to put the SOPs into action to see if others understand them. Hand it off to a freelancer or another team member to see if it makes sense to someone new. Most Importantly: Store and Review PeriodicallyAfter you've developed the SOPs, you've come to the most important part of the process: distributing and making them useful. Too many teams view creating SOPs as a one-time process that doesn't need regular maintenance. Well-created documentation isn't useful unless it's distributed and utilized. First, it's crucial that you've got a place that you can store SOPs so that everyone who'll be impacted by them can access them. This could be a Dropbox share, a shared network drive, or even an intranet page. Above all, the SOPs should be accessible and stored in only one place. I've seen them become useless because everyone begins to maintain separate copies of the file and they soon become out-of-sync. Ensure that everyone is working from the same master copy so that SOP's maintain the usefulness that they were intended for. Making SOPs "Living Documents"I've worked in many situations where writing documentation and SOPs is a one-time process. Too often, a push for creating SOPs starts, but then the document ages poorly. A big push happens from upper management to document active processes, and the team spends many hours documenting standard operating procedures. Six months later, processes are evolving and changing. And the SOPs lag behind, not updated to match the reality of the new process. Pretty soon, no one is using the SOPs because they aren't representative of how the process works. To combat this, you need to periodically update the SOPs so that they don't get too far out of sync. It's critical that standard operating procedures are reviewed regularly by the maintainer. Every SOP should have a process owner. This is a single point of contact who is accountable for updating and editing it periodically to make sure that it matches the current process. This is the only way that SOPs maintain their usefulness and are used by your team. Use Screencasts for Standard Operating ProceduresScreencasts are one of my favorite formats for teaching, and they also work supremely well for documenting processes. You may not have heard of screencasts, but I'm sure you've seen them in action. A screencast is just a recording of a digital screen with voiceover and annotated help text. Try out a screencasting platform like Screenflow or Camtasia to record a process. Even if it just supplements a written SOP, it can add another angle that's more illustrative than written instructions alone. Callouts, for example, can illustrate and highlight specific elements in the video. Check out the tutorial below for an example of how you can use an annotation in Screenflow to create very specific callouts for details. One of the other reasons that screencasts work well is that you can add extra details that don't fit a written format. I like to create "conditional" instructions in screencasts. For example, you can illustrate options such as "if the situation is A, click on this option; if the situation is B, click on this option instead." Screencasts can serve as SOPs of their own. I've found that they're one of the most effective ways to teach others. Screencasts are easier to understand for most users. Sort Out the Practicalities FirstBefore you start designing your flyer, you need to think about some practical issues. Yes, this may be dull, but it's important! One thing to consider is the format of your flyer—do you want it in hard copy (print) or soft copy (digital e-flyer) format? If the former, you should think about whether you have the budget and time to have the flyer printed professionally. Printing a large number of flyers professionally can be very good value, and you can be more playful with custom sizes and finishes (e.g. matte or gloss), but printing small batches can be expensive, and it might stretch the purse-strings if you're organising a party for just close friends or family. If you don't have a big budget and only want to print a few copies, it's probably best to print the flyers at home or in the office. If this is the case, you should be aware that few home printers are able to print to the very edge of the page, so try to accommodate this white border in your design. Printing at home might also influence the size of the flyer, as you'll need to print at a standard, not custom, size. Electronic flyers are a great choice for quickly and conveniently circulating your flyers. All you need to do is export the flyer as an Interactive PDF when you've finished designing, and attach to emails or upload to a website to share with others. Easy-peasy! This leads us on to another practical issue to consider, which is the size of your flyer. Flyers come in all shapes and sizes, but one thing they do have in common is that they are sized to be handheld. They are larger than cards, which makes them more visible, but smaller than posters, which makes them more tactile and portable. If you're printing your flyer professionally, you can choose from a range of custom and standard sizes, just some of which include A6 (148mm x 105mm), A5 (210mm x 148mm), DL Sheet (210mm x 99mm), or Square (such as 148mm x 148mm). Printing at home? Stick with standard printer sizes, like A5 or A4, to avoid the need to separate or trim flyers after printing. That's the practical stuff sorted—let's get started with the fun stuff, and explore some tips for designing your flyers... 2. Make Type the Focus of Your Flyer DesignGoogle 'flyer designs' and you'll almost certainly have a visual heart attack. So many colors, pictures, and 'look-at-me!' designs. Flyers are designed to grab your attention, and they all share common features for doing just that. That's not to say that you should compromise on the quality of the design for the sake of simply catching someone's eye. You can create something stylish and attention-grabbing, I promise! One way of keeping the design classy and eye-catching is to make typography the primary focus of the design, just like in this Christmas event flyer. A well-chosen typeface, set at large size and in a contrasting color, like in this festive event flyer example, won't fail to catch someone's eye, and they certainly won't forget the name of the event. In terms of type styles, look for fonts in a slab serif (I love Bree Serif) style for a header-appropriate twist on the traditional serif, or script styles for a more elegant look, suited to more formal events (try Great Vibes). To make the type stand out even more, consider setting the baseline at a slanted angle, like in the festive flyer here (use the Line Tool (\) and Type on a Path Tool [Shift + T] in Adobe InDesign to create a similarly slanted effect). Or why not add depth to text with drop shadows, embossing effects, gradients or textures? Look to the Effects panel in InDesign (Object > Effects) for a range of cool effects to apply to headers. 3. Want to Add Color? Try Neon...Color is going to be a hugely important part of your creative flyer design. The right color combination will set the scene for your event and give your flyer a strong sense of atmosphere. Advertising a night-time event? Neon colors look fantastic set against dark backgrounds, and have a retro nightlife vibe. Using a set of eye-catching neon styles adds an ultra-cool, atmospheric touch to modern flyer designs. To recreate neon effects on your design, saturate your text and graphics with color and increase the brightness. But Don't Shy Away From Muted Colors Too!Daytime, family-friendly, or generally more casual events might not suit an in-your-face neon color palette quite as well. Don't shy away from using muted colors for your event flyer ideas. Complementary, vintage-inspired swatches can look friendly, calming, and stylish. Pulling out some elements in white, such as the border, gift ribbon, and text in this vintage Christmas event flyer, can create contrast and stop the design looking too murky. Team muted colors with retro, 1950s-inspired type styles, like Seren, for a family-friendly style with wide appeal. 5. Use Simple Ribbons and Dividers to Separate ElementsIf you don't want to include a photo or strong graphic on your flyer, and are looking for a special typographic design instead, don't overlook the transforming effect of ribbons, banners, and dividers. Particularly if you have lots of information on your flyer, like on this typographic Christmas event flyer, simple elements like ribbons are going to help divide your text up into sections and make it more digestible for the viewer. You don't necessarily need to create these graphic elements from scratch—lots of fonts have lovely graphics loaded into their glyph sets. They're easy to recreate in any software, and they look incredibly effective. Make use of vintage-style serif fonts, borders, elaborate dividers, and retro badges and glyphs to recreate the effect. Background Textures Make Flyer Designs Look CoolerFlat designs can look great (see Tip 5, above) but if you want to give your flyer that extra cool factor, you need to think about injecting a bit of grunge into your design. Using texture effects in your layouts is a great way to do this. Achieving cool flyer designs with a grungy look isn't too difficult. Place papery images or textures in the background of your design, and play around with the transparency settings of the elements above to pull some of that texture through. Don't make colors too picture-perfect and bright—a slightly muted filter will give the flyer a cool effect. If you're looking to add a touch of luxury to your flyers—perhaps you're advertising a dinner party, a masquerade, or a glam club night—metallics are the way to go. Gold, silver, copper—you name it—metallics undoubtedly add a luxe touch to flyer designs. You also don't need to add pricey foiling to your print job to recreate a metallic effect. Metallics are naturally attention-grabbing, so they look best set against dark backgrounds, which provide contrast and drama.
