How to Do One Thing at a Time—and Stop Multitasking

We live in an age of multitasking. We spend our days immersed in computers, tablets, phones and other devices that let us do ten things at once, while staying up-to-date on the latest news, sports, emails and tweets from around the world.

There's just one problem: our brains aren't built for multitasking.

That's not my opinion, by the way. It's the result of countless studies, which I'll go into later. Many people think they're good at multitasking, but the research says it simply isn't true. We get less done, and we do it less accurately and effectively, when we try to multitask. And the people who think they're good at multitasking are actually the worst at it.

So in this tutorial we'll look at a better way of working. I'll first go through some of the research on multitasking and productivity, and then I'll show you how to set up your day to get more done by cutting out the distractions and focusing on one thing at a time.

In this age of multitasking, it's not easy to disentangle yourself from the web of distractions and achieve more consistent focus. Unplugging completely and working in monastic serenity is impractical for most of us, even if we wanted to do such a thing. But there are some practical things you can do to help yourself stay on track more often, and to finish each day with the satisfaction of knowing you got the most important things done—one individual task at a time.

1. Accept That You Can't Multitask

As promised, we'll start with a look at that research.

The first thing to understand is that strictly speaking, multitasking doesn't exist. Researchers say that even when we think we're doing multiple things at once, actually we're only focusing on one thing at a time, and switching quickly between them.

"Switching from task to task, you think you're actually paying attention to everything around you at the same time. But you're actually not," said Earl Miller, Neuroscience Professor at MIT, in an NPR article. "You're not paying attention to one or two things simultaneously, but switching between them very rapidly."

This switching has a cost, in terms of time, attention and effectiveness. A study reported in the Journal Of Experimental Psychology found that students were up to 40% slower at solving complicated mathematical problems when they had to switch to other tasks. Separate research by the Institute of Psychiatry at the University of London found that multitasking with electronic media temporarily reduces your IQ by 10 points. 

But perhaps you think you're good at multitasking. Maybe you do it all the time, and consider it one of your strengths. This research doesn't apply to you, does it?

Well, consider the results of this experiment, in which people who considered themselves good at multitasking—so good at it that they frequently used their cellphones while driving—actually scored lower than other people on a test of multitasking ability.

This is just a small sample of the research that's been done on multitasking, and most of it points in the same direction: multitasking just doesn't work. As Stanford University Psychology Professor Clifford Nass told NPR:

The research is almost unanimous, which is very rare in social science, and it says that people who chronically multitask show an enormous range of deficits. They're basically terrible at all sorts of cognitive tasks, including multitasking.

2. Set Up Your Day to Focus

So if multitasking is bad for your productivity, we should just stop doing it, right? Ideally, yes, but if you've ever tried it, you've probably realized that it's not that easy.

Whether you work in an office or run your own business, you probably have to juggle lots of different tasks in any given day, as well as navigating the world of near-instant communication in which we live. You can't just hang up a "Busy" sign and tell your clients to come back next week.

So creating a distraction-free work environment in which you can focus on single tasks for longer takes some conscious effort. We'll look at some useful techniques in this and the following sections.

It starts at the beginning of each work day. Before you plunge into problem-solving mode, take a few minutes and consciously plan your day. This doesn't mean creating a laundry-list of tasks to complete. Instead, focus on a few key objectives, things that are aligned with your longer-term business objectives and will help you move forward.

Remember the Pareto Principle, otherwise known as the 80/20 rule: 80% of the results come from 20% of the causes. Or in this case, 80% of your success comes from 20% of your effort. Which tasks constitute that 20%? Try to limit it to just three tasks that you really need to complete today in order to consider the day successful when you go to bed.

Then estimate the time you'll need to complete each task, and block out time in your calendar to do it. The idea is to make those blocks of time distraction-free, so that you just "single-task" at those times, and get your most important tasks done. You can use the organizational tools of your choice to accomplish this, but remember that web-based apps come with their own potential for distraction, so you may want to consider a traditional planner.

3. Ignore Email for as Long as Possible

OK, so you've got a good, clear picture of the most important things you need to do today. Now you go online, check your email, and find a whole stack of new messages waiting for you. By the time you've finished answering all those emails, a couple of hours have gone by, and you've made no progress on any of the things you just decided were important.

What's worse, you've lost the focus and clarity you had first thing in the morning. You probably had to do some research to answer some of the emails, so you now have a whole bunch of apps and browser tabs open, and your head is buzzing with a lot of irrelevant information.

By starting your day with email, you let other people define how you spend your time. Maybe some of those emails were really urgent, but in all likelihood, most of them could have waited at least another hour or two, if not another day or two, without the sky falling in.

So try this: Allow yourself a block of time each morning to work on your most important tasks, before even looking at your email inbox. If this idea makes you uncomfortable, you can start small: maybe allow yourself half an hour.

If you survive this email-free block of time without a mob of angry clients marching on you with torches and pitchforks, consider extending it to 45 minutes, an hour, two hours. If you can (gasp!) survive the whole morning without checking email, your productivity will skyrocket. This may not be possible, but just find the right balance for you and your business.

4. Switch Off Notifications

OK, there's more bad news for email addicts. Researchers at Microsoft and University of Illinois found that when people were interrupted by emails during the day, there was a huge cost in terms of lost time and focus.

For each email interruption, people spent nearly 10 minutes on average dealing with the email, and another 10 to 15 minutes before returning to focused activity on the disrupted task. In many cases, the delays were much longer: "We found that 27% of task suspensions resulted in more than two hours of time until resumption."

The lesson is clear: even if it's "just a quick email", it takes you out of what you were doing, and it can take a long time to get back on track. So switch off email notifications when you're working on your most important daily tasks, and for that matter switch off any other notifications that your computer or phone may be set up to produce.

Remember, you've blocked out time to work on a single task, and you know that you don't have any important meetings or other events during this time. The only notification you need is a simple timer to let you know when your allocated time is up and you can move on to your next task or event. There should be no other little buzzes or beeps.

By the way, if you're worried about missing an emergency call from your spouse or your kids' school, most smartphones allow you to set them to silent but still allow selected people to get in touch with you.

5. Unplug When You Can

The "nuclear option" for focusing successfully on a single task is to unplug completely: no internet, no phone. Just you and the blank page. There's nothing like it.

I can hear the protests already, and I'll admit that many of them are valid. To complete a task these days, we often need to access the internet for research, to access images and other resources to include in our project, or a whole range of other things.

But do we really need it all the time? Sometimes, but often not. If it's feasible, consider using the internet for limited periods of time, to accomplish a particular task, and then switching it off again.

For example, for this article I needed to do some research online. So I started by searching for the articles and studies I needed, and opening them up in a whole lot of new tabs in my browser. Here's a screenshot of the mess I was in (at the time you can see that I was looking up whether "multitasking" should be hyphenated).

Multitasking at its finest. But after opening all these tabs, I disconnected from the internet, and read and made notes on what I'd found. To actually write this tutorial, I didn't need to be online. In fact, being online would have resulted in more distractions, more temptation to click from page to page, following tangents and tangents of tangents, until I was completely off-track.

The key is to separate the research (one task) from the writing (another task). The first task requires the internet; the second does not. Questions did come up as I was writing, but I simply made a note and checked them later, when I was back online. While writing, I stayed focused on the task at hand.

Of course, whether this will work for you depends on the type of work you're doing. Unplugging long-term isn't feasible for many of us these days. But think about whether you could do without the internet, at least for short periods of time. If you're going to do this, you may want to switch to old-school organisers and calendars as well, so that you have more information to hand without going online.

If you can't unplug, consider at least taking smaller steps like using apps to block your favourite distracting websites, or going into full-screen focus mode on the program you're working in to help you block out everything else.

6. Take Breaks

In addition to being bad at multitasking, the brain is also unable to concentrate for long stretches of time. That's why, when you're pushing yourself to work for hour after hour to meet an important deadline, you keep getting the urge to watch hilarious cat videos on YouTube. It's just your brain telling you it needs a break.

So when you block out that time to work on important tasks, remember to schedule breaks. Having a limited time will help you stay distraction-free, and the break will help you recharge ready for the next block.

One piece of research suggests that the optimum balance of working and breaks is to work for 52 minutes and take a 17-minute break. Of course, you don't have to stick to that precise timescale; find one that works for you. A popular system that follows a similar principle is the Pomodoro Technique, in which you work in blocks of 25 minutes called "pomodoros", taking five-minute breaks in between. 7. Keep Other Tasks Focused Too

If you follow the suggestions given so far, you should be able to complete your most important daily tasks in short, focused bursts of activity, without distraction. That's a big step forward for most of us.

But of course, you do still need to check email, keep up with social media, and all those other things that tend to distract us. In fact, if you don't take care of them, all those unanswered emails will likely call at you even more strongly, pulling you away from other activities.

So it's best to deal with them, but in a concentrated, focused way. Instead of breaking away from other tasks to answer an email here and there, set aside half an hour or an hour at the end of the day to blitz your inbox. Instead of idly flicking across to Twitter when you should be writing a report, schedule short blocks of time—maybe one at lunchtime and another in the evening—to update all your profiles and interact with your friends and followers.

Even if you don't do social media, there will always be little daily tasks that, while not your overall priority, still need to get done. The principle is the same: keep them contained. Get them done, but only after you've completed your three most important tasks for the day. You do need to pay the utility bill, but you don't need to interrupt your creative work to do it. Schedule it for a block of time later in the day, and forget about it until that time comes.

Perfect focus all day long is an unattainable goal for most of us. But with the techniques outlined in this tutorial, you should be better equipped to keep distraction at bay and at least complete your most important tasks without getting the urge to multitask.

Let's get started:

1. Use Your Photoshop Layers Panel

Layers are an essential part of working in Adobe Photoshop. You'll almost certainly need them to customize your premium business card designs.

To open up your Layers panel, go to Window > Layers, as shown below. This let's us see the "inside" of our Photoshop business card template.

Notice how the content has been organized into layers. This makes it much easier to edit than a solid, flat image. We can select a specific layer—where content has been independently isolated—to make changes to it.

2. How to Move and Rearrange Parts of Your Design

Let's experiment with this premise. In the example, below, the layer Shape 2 has been selected. Then, we can use the Move tool, in our Tools panel (as highlighted below), to move this shape anywhere we'd like in the composition.

Shape 2 is the multiple arches in this business card design. Here, we've moved it down in the composition.

Here's a tip: hold down the Shift key while you move an object if you'd like to move it in a perfectly straight line. Without Shift you can move the object freely.

Want to resize it? Go to Edit > Free Transform. Then, click and drag on the resize handles to resize this shape.

3. How to Change Shape Colors in Adobe Photoshop

We can easily change the color of a Shape layer by double clicking on the layer thumbnail, in our Layers panel. This part of the layer has been highlighted, in the preview below. 

This opens up our Color Picker. Use the slider to select a new color. Photoshop allows us to preview our color selection before we commit to it. Once you're happy with your color choice, click OK

Note that this process is specific to Shapes.

4. How to Edit the Text in Adobe Photoshop

Editing text is another essential when it comes to customizing your photoshop card template. Thankfully, this is easy to do.

Go to your Type tool in your Tools panel. It's highlighted, below.

Then, simply click on the text in your composition to begin editing. Type as you would in most word processing software.

You'll notice that the corresponding Text layer becomes active in your Layers panel, too. This is good to note. You can also isolate, select, and edit text by referencing and selecting from your Layers panel.

5. Work With More Than One Photoshop Document

Many premium business card templates are double sided. But this means your design will likely be split into two separate documents: one for the front, and one for the back. You will likely want to see both pieces of your Photoshop business card template at once.

You've got flexibility when you've got many documents open in Photoshop. Click on the file name and drag to undock the document. Then,  position your documents in a way that works best for you. Sometimes, it can be helpful to have both documents visible at the same time, especially with a double sided business card.

Let's get started:

1. Use Your InDesign Pages Panel

Unlike Photoshop, it's likely your double sided business card template might be in one document, when working in InDesign. Take a look at your Pages panel.

Open the Pages panel by going to Window > Pages

This document has two pages: one for the front of the business card, and one for the back of the business card. We can toggle between the two designs by clicking on the different pages.

2. How to Edit Text in Adobe InDesign

Next, let's take a look at editing text in InDesign. To start, select the Type tool. It's located in the Tools panel, as highlighted on the left. 

Click on any text, and you'll notice that the applicable Text Box becomes active. In InDesign, content is held within rectangular frames. Edit the text as you would in standard word processing software. But notice that the text is confined to this space. 

If you want the text to take up more space, resize the Text Box with the Selection tool.

3. How to Change the Font and Font Size

Want to change the font or the size of the font in your business card design? Head over to the Character panel. To open this panel, go to Window > Type & Tables > Character

The Character panel is visible in the example below, on the right. Here, we can change things like the font, the font size, and other attributes that apply to our type. 

Make sure to select your text first, with the Selection tool. If the text isn't selected and active, then the changes you make here won't apply.

4. How to Change Font Color in InDesign

Now, let's change the font color in InDesign. Start by selecting your text again with the Selection tool.

Then, we need to look towards the bottom of our Tools panel. Under the Stroke and Fill Color, click the small "T" icon—it reads "Formatting Effects Text". The one beside it's "Formatting Effects Container". Toggle between them to decide if our color change changes the text color or the color of the container.

If we're changing the text color, notice how the Fill Color looks like a letter "T". All we've got to do is click on the Text Fill Color (this colored "T" icon) and choose a color.

5. How to Change Frame Colors in InDesign

But how about changing the color of shapes and other design elements? We can use the same technique. This time, we want Formatting Effects Contents.

Let's go back to the front of our business card design. By default, the color applied here was black. All we need to do is:

  • Select the background shape with the Selection tool.
  • Click on the Fill Color.
  • Choose a New Color.
  • Click OK once you've selected the color you want.

Now, our black business card is a light blue color. Test out lots of different color schemes.

1.  Layers In Your Premium Business Card Templates

Open up your Layers panel by going to Window > Layers. Like in other Adobe software, this is a space where we can view the "inside" of our design document.

In this particular business card premium design, the content has been separated into two layers: one for the content and one for the background. We can select the one we'd like to edit.

2. Edit Text With the Type Tool

Let's begin customizing our content with the Type tool. You can find it in the toolbar. Note that it is selected and highlighted in the example screenshot, below.

With the Type tool selected, simply click on the text you want to edit. Then, edit this copy as you would in most word processing software. Also, take a look at your Layers panel. You'll notice that the layer expanded, so we can see all the pieces on this content layer.

3. Change the Color Gradient

Normally, if we wanted to change the text color, we could turn to the Fill and Stroke color, in our toolbar. However, in this case, our text has a gradient applied. To alter that gradient, open the Gradient panel. You can find it by going to Window > Gradient

Start by selecting the text using the Selection tool. It's the arrow in your toolbar, as shown below. Then, with this text select, we can edit the gradient in the Gradient panel. Just click on any of the dots at the bottom of the gradient bar. In this example, the first point has been changed to blue. Create any custom gradient you like.

4. Easily Move and Adjust Design Elements

Let's say you want to move or adjust the position of content in your premium business card designs. All we need to do is turn to our Selection tool again. It's selected, in our toolbar, in this example below.

With the Selection tool active, click on the element you'd like to move. Then click and drag to reposition it. You can also nudge items using the arrow keys on your keyboard.

5. View More Than One Document At Once

It's likely that most premium business card templates will include two files: one for the front and one for the back. That's this case with this business card template. You may want to view both files at once, so you can make adjustments across both sides.

To do so, go to File > Open to open additional files. Then, you can drag the documents to undock them. Resize the windows and you can reposition them in any way you prefer. This can be a convenient

What You'll Need

You'll need access to Adobe Photoshop—if you don't have the software, you can download a trial from the Adobe website. We'll also be using the following resources:

Download the images and install the font, and you are ready to start! 

1. How to Set Up a New Photoshop File

Step 1

In Photoshop, go to File > New. Name the document Music Poster. Set the Width to 1270 px and Height to 1600 px. Set the Resolution to 72 Pixels/Inch. Click OK.

Step 2

Press Command-R to bring up the rules around the document. Head over to View > New Guide. On the New Guide window option, select Horizontal and set the guide to 50 px. Click OK.

Do the same for the other sides of the document by subtracting 50 px from the final size.

Step 3

In order to create an interesting layout, we will create a layout that is slightly off centre. The goal is to create something unexpected, instead of the regular centred layout. 

The way I determined this layout was by applying the rule of thirds. This technique is applied by dividing the poster size into three rows and columns. The guides we created are not exactly divided into thirds—they are slightly off to accommodate the text and images. By doing this, we are already breaking away from the normal poster. We will create four spaces to mix text and images.

Head over to View > New Guide. On the New Guide window option, select Vertical and set the guide to 800 px. Click OK. Let's do the same for the horizontal guide, setting it to 980 px. Click OK.

To activate and deactivate the guides, press Command-;. I will hide my guides for now until we need them.

2. How to Use Bitmap Mode

A bitmap is an alternative to vector in which an image is converted into black and white pixels. This technique is commonly used for screen-printing or newspapers.

We can choose between a handful of different patterns and set the amount of detail we want to maintain. In order to create screened images, we need to open them separately. 

Step 1

Open the isolated headphones image.

On the Layers panel, unlock the main layer by clicking twice on the lock. Click OK in the New Layer option window.

Step 2

Head over to Image > Mode > Grayscale, followed by Image > Mode > Bitmap. Click OK in the Flatten Layers option window.

Step 3

On the Bitmap option window, set the Output to 72 Pixels/Inch. Under Method, Use: Halftone Screen. Click OK.

Step 4

In the Halftone Screen option window, set the Frequency to 2 Lines/Inch, the Angle to 45 degrees, and the Shape to Line. Click OK.

Step 5

In order to use the image, we need to turn it back to Grayscale. Head over to Image > Mode > Grayscale. In the Grayscale option window, set the Size Ratio to 1. Click OK.

Step 6

Let's duplicate this image onto the Music Poster. In the Layers panel, Right click > Duplicate Layer. In the Duplicate Layer option window, name the layer headphones. Under Destination, select the Music Poster Photoshop file. Click OK.

Close the isolated headphones image. We won't need to save it because we've already duplicated it into the main Photoshop file.

Step 7

Open the DJ image. In the Layers panel, double-click on the layer to unlock it. In the New Layer option window, click OK.

Step 8

For this specific image, we need to delete the background to have an isolated DJ. In the Layers panel, click on the Add a layer mask button. 

In the Tools panel, select the Magic Wand Tool (W). Click to select the background, and hold down Shift on your keyboard to add to the selection. It doesn't need to be perfect, but we need to delete as much of the background as possible.

Step 9

Once you've selected the background, press Command-I on your keyboard to invert the mask. Make sure you are doing this on the Layer Mask we added to the main layer.

To deselect, press Command-D.

Step 10

In order to continue, we need to apply the Layer Mask to the main layer. Select the Layer Mask (Right Click > Apply Layer Mask).

Step 11

Head over to Image > Mode > Grayscale, followed by Image > Mode > Bitmap. Click OK in the Flatten Layers option window.

In the Bitmap option window, set the Output to 240 Pixels/Inch. Under Method, Use: Halftone Screen. Click OK.

In the Halftone Screen option window, set the Frequency to 25 Lines/Inch, the Angle to 45 degrees, and the Shape to Round. Click OK.

Turn the file back to Grayscale. Head over to Image > Mode > Grayscale. In the Grayscale option window, set the Size Ratio to 1. Click OK.

Step 12

Let's duplicate this image onto the Music Poster. Right-click on the layer and choose Duplicate Layer. In the Duplicate Layer option window, name the layer DJ. Under Destination, select the Music Poster Photoshop file. Click OK.

Close the image. We won't need to save it because we've already duplicated it into the main Photoshop file.

Step 13

Let's go back to the main Music Poster file to resize the screened images. 

To show the guides, press Command-;.

Using the guides we created at the beginning of this tutorial, we will resize the images to fit the spaces. Let's start with the DJ layer. Press Command-T to transform. Head over to the Options bar, and activate the Maintain Aspect Ratio button. Set the Width or Height to 85%, and press Enter. Place the image on the right side of the poster.

Step 14

We can add a Layer Mask to delete parts of the layer we aren't using. Click on the Add Layer Mask button. Using the Rectangular Marquee Tool (M), select the left side of the poster. Press Command-I to invert the mask. Press Command-D to deselect.

Step 15

Let's work on the headphones layer. Press Command-T to transform. Head over to the Options bar, and activate the Maintain Aspect Ratio button. Set the Width or Height to 22%, and press Enter. Place the image in the lower left quadrant of the poster.

As in the step above, we can add a Layer Mask and delete the parts we won't be using. Click on the Add Layer Mask button. Using the Rectangular Marquee Tool (M), select the top side of the image. Press Command-I to invert the mask. Press Command-D to deselect.

3. How to Create a Digital Screen Effect

Step 1

In the Layers panel, create a new layer by pressing Shift-Command-N. Name the layer Screen. Click OK.

Select the Brush Tool (B) from the Tools panel. Right click to change the settings. Set the Size to 400 px and the Hardness to 0%. Using the color codes below, brush over the page to cover it. 

  • Yellow: #ffb20e
  • Pink: #ff12de
  • Blue: #0078ff

Step 2

Head over to Filter > Distort > Wave. In the Wave option window, use the following settings:

  • Number of Generators: 1
  • Type: Sine
  • Wavelength: Min. 1 and Max. 2
  • Amplitude: Min. 295 and Max. 375
  • Scale: Horiz. 100% and Vert. 100%.
  • Undefined Areas: Repeat Edge Pixels

Click OK.

Step 3

To create the cardioid style pattern, we need to run this image through a second process. While on the same layer, head over to Filter > Distort > Polar Coordinates. 

In the Polar Coordinates option window, select the Polar Rectangular option. Click OK.

If the colors are not as you hoped, we can tweak them later. Please note that the result will vary, and that's the fun part!

Step 4

Using the Rectangular Marquee Tool (M), select the top left quadrant of the poster. Press Shift to add to the selection and select a small section of the bottom right side. We will be using this later when we add information. Once you have these two selections, click on the Layer Mask button. This will create a mask around the selection.

Step 5

To change the color of the Screen layer, click on Create a new fill or adjustment layer > Hue/Saturation. The Properties panel will automatically open. If the opposite, double-click on the Hue/Saturation layer thumbnail. I am adjusting the Hue to -25. Feel free to experiment! 

We want to apply this adjustment layer only to the Screen layer. Right click > Create Clipping Mask.

Step 6

At this point, the poster is looking slightly flat. The aim is to create tension that will lead the viewer from the main copy down to the rest of the information.

Tension is important in a poster because it provides focus and contrast from the other elements. It also creates a path of where the eyes should be going. Something as small as a rectangle can make the biggest difference. 

From the Tools panel, select the Rectangle Tool (U). Click on the page, and set the Width to 30 px and the Height to 1600 px. Click OK. Head to the Options bar, and set the Fill to black. Place the rectangle vertically between the Screen image and the DJ.

4. How to Add Text

In order to be able to use a bigger font size, I split the word Introspektive onto two lines. Additionally, I used a lighter weight on Musik as it comes secondary to the main word. Since there is a lot going on visually, I chose to keep the rest of the information in a single weight and size.

On the Tools panel, select the Text Tool (T). I used white text to contrast with the background. Use a typeface like Fonseca Font Family Pack from Envato Elements. Bring up the Tools panel by going to Type > Panels > Character Panel. Below are the details I added; each bullet point is a separate layer. Use the guides we created at the beginning of the tutorial to align the text.

5. How to Save the File for Web

Head over to File > Save and save the file as you would normally. 

To save a JPEG file for web, head over to File > Save for Web or Shift-Option-Command-S. Select the file type you want to save the document in—I am choosing JPEG—and set 100 for Quality. Under Image size, you can change the pixel size of the image if you have any size constraints. 

On the bottom left-hand side, you can see a preview of the file size. This is useful when there are size constraints on a website and you need to lower the quality or the size of the image. 

Click on Save… to choose the location in the new window, and click on Save again.
